Job Summary
Reporting to the Principal of our Himel Branch, the Front Office Administrative Assistant is a vital member of our team, ensuring that everyone who comes to the office feels welcomed and is treated with compassion. They will contribute to the smooth and efficient running of the Front Office, providing essential administrative support. The Front Office Administrative Assistant will work closely with front office staff, administrators, teachers, students and members of our parent community. This role requires a highly organized and detail-oriented individual with strong communication and interpersonal skills. Ideally, they will have previous first aid and administrative experience in a school setting, and enjoy working in a fast-paced environment.
Applicants must be legally eligible to work in Canada and authorized to work in childcare and primary/secondary school teaching occupations.
The salary range for this position is $50,000 - $65,000.
The role is currently vacant at our Himel Branch, 180 Ilan Ramon Blvd, Maple, ON.
Key Responsibilities
- Assist students, parents, visitors and staff in a professional and friendly manner
- Answer and direct phone calls, taking accurate messages and providing information
- Responsible for the Safe Arrival and Attendance program
- Responsible for issuing late slips and communicating early sign-outs
- Administer basic medications as required such as Tylenol and prescribed antibiotics
- Organize distribution of lunches as needed
- Issue parking passes and card readers
- Coordinate Beit Bialik students to walk across the street with the Crossing Guard
- Manage room bookings calendar
- Digital filing of records
- Manage printing and mailing of Tribute Cards and other assigned school projects as necessary
- Other duties as assigned
Qualifications and Skills
- Experience in a front office or administrative assistant role, preferably in an educational setting
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong organizational and time-management skills
- Proactive problem-solving and initiative-taking abilities
- Excellent interpersonal skills, including compassion and patience
- Ability to work well under pressure and multi-task
- Ability to work independently and as part of a team
- First Aid and CPR certification is an asset
- Proficiency in Google Suite and digital filing systems is an asset
