Administrative Assistant

We seek a highly motivated and organized Administrative Assistant to become part of the team at our Viewmount Branch in midtown Toronto.

This is a full-time position, starting as soon as possible.


Reporting to the Viewmount Branch Principal and the Executive Director, and under the mentorship of the Office Coordinator, this self-motivated individual will:

  • Be on the frontline to provide reception duties.

  • Use their strong customer service skills to represent the school as the first point of contact for parents, students, staff, guests and vendors.

  • Take great care in assisting the students with logistical issues, minor first aid and emotional support.

  • Perform general reception and office duties including maintaining filing systems and electronic records, photocopying, laminating and other tasks as required.

  • Work cooperatively with other front-office staff to ensure the smooth running of the office.

  • Prepare routine correspondence, forms and reports.

  • Provide administrative support to the Branch Principal, Vice Principals and other staff members as required.

Qualities and Skills

The successful candidate will have:

  • A professional manner, with customer service skills, to represent the school as the first point of contact for parents, students, staff, guests and vendors.

  • Empathy for, and the ability to relate to children.

  • Strong interpersonal and communications skills (written and oral).

  • The ability to manage sensitive interpersonal situations and confidential information with tact, discretion and judgment.

  • Excellent organizational skills, with the ability to multitask.


  • A college diploma or undergraduate degree.

  • Three to five years’ work experience.

  • Proficiency in Google Suite, Microsoft Excel and data entry.

  • Customer service experience or experience working in a school setting is an asset.

A police background check will be required. Full COVID-19 vaccination status is required.

IT Support Specialist or Tech-Savvy Teacher

Bialik seeks an IT Support Specialist, working in the very busy IT Department at our midtown Toronto branch and/or our Vaughan branch. The post may be offered on a permanent or temporary contract basis, subject to the satisfactory conclusion of a three-month probationary period from the date of commencement of employment. The IT Support Specialist will work full-time, 8:00 a.m. – 4:00 p.m., reporting to and taking direction from the IT Director.

Bialik is a Google Workspace for Education and Apple MacOS environment, with over 1400 connected devices. Every classroom has interactive display (Smartboard) technology.

Duties and Responsibilities

  • Respond to user requests for assistance via telephone, email or in person in a timely and courteous manner.
  • Log all information relating to the requests in a central tracking/ticketing system (FreshService).
  • Resolve technical questions and problems, provide follow-up communications with users, escalate when needed.
  • Conduct troubleshooting and preventative maintenance of all computers (Mac OSX and Chrome OS), Smartboards, projectors, audio equipment, and related software.
  • Liaise with external vendors for hardware and software support.
  • Configuration of computer workstations, software, laptops, iPads, Smartboards, and peripherals as necessary.
  • Establish, improve and utilize process and procedure documentation for all aspects of the helpdesk request and incident management, and ensure documentation stays current.
  • Evaluate and test vendor supplied software packages and hardware for desktop computers to determine compatibility with existing systems, ease of use, and if software meets users’ needs. 
  • Perform basic server and network account tasks.
  • Provide end-user training when required.  ie. new hires, new equipment orientation, etc.
  • Any other duties and tasks as specified and prioritized by the IT Director.

Skills and Qualifications

  • Teaching credentials or experience, or some experience working with children or at a school or camp.
  • Strong interpersonal skills – ability to interact with others and build effective relationships at all levels of users
  • Service-oriented and customer focused, with enthusiasm and self motivation
  • Courteous manners with strong written and verbal communication skills
  • Results oriented with a passion for recommending and implementing efficiency initiatives
  • Strong analytical and methodological skills
  • Google Certified Technician or Educator a bonus
  • Bilingual in English and Hebrew a bonus

General & Jewish Studies Classroom Teachers and Assistants
