Job Summary
Reporting to the Principal of our Viewmount Branch, the Front Office Administrative Assistant is a vital member of our team, ensuring that everyone who comes to the office feels welcomed and is treated with compassion. They will contribute to the smooth and efficient running of the Front Office, providing essential administrative support, as well as administering first aid to students. The Front Office Administrative Assistant will work closely with front office staff, Administrators, teachers, students and members of our parent community. This role requires a highly organized, and detail-oriented individual with strong communication and interpersonal skills. Ideally, they will have previous first aid and administrative experience in a school setting, and enjoy working in a fast paced environment.

Key Responsibilities
● Assist students, parents, visitors and staff in a professional and friendly manner
● Answer and direct phone calls, taking accurate messages and providing information
● Coordinate and maintain digital filing systems for student assessments and paperwork
● Coordinate field trip bus bookings
● Coordinate and order office supplies and teaching material orders
● Administer first aid to students and staff, and collaborate with the school’s response team in providing emergency care
● Coordinate and administer student medications according to established protocols
● Prepare and manage paperwork related to student health and safety
● Maintain and monitor AED and Epipen equipment, coordinating with suppliers

Qualifications and Skills
● Experience in a front office or administrative assistant role, preferably in an educational setting
● First Aid and CPR certification
● Experience in administering first aid
● Ability to maintain confidentiality and handle sensitive information with discretion
● Strong organizational and time-management skills
● Excellent interpersonal skills, including compassion and patience
● Ability to work well under pressure and solve problems
● Ability to work independently and as part of a team
● Proficiency in Google Suite and digital filing systems is an asset
